Customer Service Hub & FAQ

Start here before you write, call, or open a return. We ship authentic soccer jerseys from Helsinki — player names, club kits, and national-team collections. Open a topic, then follow the gold links when you need the full policy wording.

Keep the order number from your confirmation email. Order tracking works without signing in. For sizing, how the shirt is cut, and jersey care, The TIFO goes deeper than this hub.

A real desk

Finnish and English. Email first, phone if the courier is moving.

Kitdesk customer service is based in Helsinki and answers in Finnish and English. We sell authentic soccer jerseys — player names, club kits, and national-team collections — and this hub is written for those orders. If you need a size check, a return authorisation, a tracking update, or a print confirmation, start here, then write to us with the details below so we can open the right order on the first reply.

Email is the fastest written channel for almost every case. We can pull up your order number, payment status, print notes, and carrier scan in the same thread, and you have a written record of spelling, size, and the remedy we agreed. For a live question, open Contact Us — the Helsinki desk chat is on that page. Phone support is reserved for time-sensitive situations: a courier is already on the way, a payment is pending at checkout, or you cannot reach your account before a match-day gift deadline.

How to write so we can help on the first reply

Please include your order number (for example NP-10482), the product name as it appears on the site, the size, and a short description of what you need. If the jersey has a player name, a number, or a tournament patch, mention those as well — two shirts in the same colourway can be different SKUs.

If the issue is a defect, a wrong item, or damage in transit, attach clear photos taken in daylight: the jersey laid flat, the neck or care label, the print or crest close-up, and the outer packaging if the carton was crushed. We cannot assess a print fault from a dark indoor snapshot. Do not send the parcel back until we have issued a return authorisation; unmarked boxes are slower to match to an account.

For a size question before you order, send your chest measurement (armpit to armpit on a shirt that already fits, in centimetres). We will compare that with the chart on the product page. We do not guess from a clothing size in another brand’s hoodie.

Email, phone, and what each channel is for

Email tuki@nordpulse.fi for order changes, sizing, returns, custom name-and-number requests, team quotes, and anything that needs a paper trail. We aim to send a first reply within one business day during customer service hours. Complex cases — a split shipment, a customs query, a reprint — may take a follow-up once we have checked stock or the carrier.

Call +358 10 123 4567 when waiting on email would miss a courier window. Have the order number ready. We do not take new custom print jobs by phone: lettering must be confirmed in writing so a typo does not go to production. We also cannot complete card payments over the phone; checkout stays on the site through Stripe.

Social media messages (Instagram, Facebook) are read on weekdays, but they are not a substitute for email on paid orders. We will ask you to move the conversation to tuki@nordpulse.fi so the case sits on the order. Kitdesk never asks for a password, a one-time code, or a full card number in a private message. If someone does, it is not us.

Hours, holidays, and after hours

Customer service hours are listed in the sidebar on this page, in Eastern European Time. Emails that arrive after close are queued for the next working morning. We do not promise same-hour replies on Saturday afternoon or on public holidays, but we still monitor urgent carrier issues when a parcel is already in the network.

Holiday hours (Christmas Eve, New Year’s Eve, and Finnish public holidays) are published in the table on the right. Fulfilment may run on a reduced schedule even when the inbox is staffed — if a campaign page shows a last-order date for Christmas or a tournament window, that date is the one to trust.

Your payment method is authorised when you place the order. For in-stock jerseys we capture the charge as soon as the order is confirmed. You will receive an order confirmation by email with the amount in euros, the delivery method, and the order number. Keep that message: it is the reference we use if you write to us later.

In-stock jerseys versus pre-order and print

If every line in the cart is in stock and does not need extra printing, we charge the full amount at confirmation and the warehouse picks on the next fulfilment run. If a line is a pre-order or made-to-print (a name, number, or patch that is not already on the shirt), we still authorise the full amount at checkout so the size stays reserved. The capture happens when that item is ready to leave our Helsinki fulfilment point.

You will not be billed twice if we split a mixed order into two parcels — for example an in-stock jersey that ships now and a custom print that follows. The confirmation and any later dispatch emails show which lines are in which box. Shipping is not charged a second time when we split for our own operational reasons.

Cards, Stripe, and failed payments

We process cards through Stripe. Kitdesk never stores your full card number on our servers. 3-D Secure (your bank’s extra confirmation) is required on many European cards. If you cancel that step, or the bank declines for insufficient funds, an expired card, or a suspected fraud rule, the order is cancelled automatically. Nothing is reserved and no invoice is created.

Sometimes the bank holds the authorised amount for a few days even after a failed checkout. That hold is released by the issuer, not by Kitdesk. If a hold remains after a cancelled attempt, contact your bank with the timestamp from the decline email. You can retry with another card; do not place a second order “just in case” unless the first confirmation never arrived.

International cards are charged in euros. Your bank’s conversion rate and any foreign-transaction fee are between you and the issuer. We cannot adjust the euro amount after capture to match a different currency display.

Refunds back to the card

Approved refunds return to the original payment method. We do not refund to a different card or to cash. After we mark the refund in our system, card issuers typically post it in 5–10 business days. Weekend and bank holidays sit outside that window. If you do not see the credit after ten business days, send us the order number and we will share the refund reference for your bank.

Partial refunds (one jersey from a multi-line order, or shipping only) appear as a smaller credit, not as a void of the whole payment. Gift notes and marketing credits, if any were applied, are reversed according to the same campaign rules that created them.

You have 30 days from delivery to return unused jerseys in original condition, with tags attached and in the original packaging where possible. Authentic shirts must be unwashed and free of deodorant, grass, perfume, or print damage. Try the jersey on over a t-shirt if you need to check the fit — that is the standard we use when we inspect returns.

What can come back — and what cannot

Change-of-mind returns apply to unworn, unwashed, unaltered jerseys that we can put back on sale. Personalised name-and-number shirts, shirts with a patch applied to your order, and any jersey that has been washed or worn to a match are excluded unless the product is faulty or we sent the wrong size, colour, or player.

A manufacturing defect (loose crest, misaligned number we applied, hole that was not caused in wear) is not a change-of-mind case. Photograph the fault, write within 14 days of delivery, and we will arrange a reprint, replacement, or refund under the statutory rules for defective goods. Do not attempt a home repair on a print; that usually voids a straightforward swap.

How to start a return

Start from your account under Orders when you are signed in, or email tuki@nordpulse.fi with the order number and the lines you are sending back. We reply with a return authorisation and drop-off instructions. Please do not post goods without that confirmation — parcels with no reference spend extra days in the warehouse queue.

Pack the jersey so the print does not crease against a hard edge. Include a note with the order number inside the bag. We inspect on arrival: tags, odour, wash marks, and print condition. Inspection usually takes 5–10 business days from the day we scan the return in Helsinki. You will get an email when the refund is approved or if we need more information.

Refunds, shipping, and exchanges

Once the return passes inspection, we refund the purchase price to the original payment method. Original outbound shipping is refunded when the return is our error (wrong item, defect, or damage in transit). For a change of mind we may retain the outbound shipping fee; return postage to us is at your cost unless we agree otherwise in the authorisation.

If you need a different size, return the original and place a new order for the size you want. Club and national-team drops move quickly; we cannot always swap sizes from the same unit sitting on a shelf. If the new size is already gone, we refund the first shirt and you can wait for restock or choose another colourway.

The full legal wording — cooling-off for distance sales, exceptions, and how we handle sealed goods — lives on the returns policy page. This hub is the practical version. If the two ever seem to differ, the policy page and Finnish consumer law control.

  • Full returns policy

We ship soccer jerseys from Helsinki. Rates and windows are calculated at checkout for the address you enter. A tracking number is emailed when the carrier first scans the parcel. You can also follow the shipment from Order tracking using the order number and email.

Finland: standard, express, and pickup

Fan delivery abroad is 9–11 days after we hand the parcel to the carrier. Standard is 5.90 €. Express is 12.90 € when the size is in stock. Pickup point is 3.90 € and 2–4 business days. Orders over 100 € qualify for free standard shipping in mainland Finland. These windows start when the jersey leaves us, not when you click pay — custom print and pre-order lines wait for their batch.

In-stock jerseys without extra printing leave with the next fulfilment run after payment (typically the same or next business day if you order before the warehouse cut-off). Pre-order and made-to-print lines ship when that batch is complete; the product page and confirmation email show the estimated window. We do not charge shipping twice if we split a mixed order into two parcels.

Åland, international, and customs

Åland and destinations outside mainland Finland are priced at checkout. Fan delivery abroad is 9–11 days. Delivery times are estimates, not guarantees: carriers and customs can add days around public holidays and tournament peaks. Where import VAT or duties apply, they are the recipient’s responsibility. Kitdesk cannot pre-pay a foreign customs invoice on your behalf.

Give a complete address, including apartment, buzzer, and a phone number the courier can use. Incomplete addresses are the most common cause of a parcel bouncing to a pickup point. If you spot an error before handover to the courier, email us immediately. After the carrier has the parcel we cannot redirect it in the van, but we will help you collect it from the pickup location on the tracking page.

Delays, weather, and match-day gifts

We publish last-order dates when a tournament or a holiday makes the calendar tight. If you need a jersey on a specific Saturday, choose Express only when the product is in stock and does not need printing, and leave more than the minimum window. We do not refund a late gift because a match went to extra time on the calendar — we will still chase the carrier if a scan stalls.

If tracking has not moved for several business days after the first scan, write to us with the tracking number. We open a tracer with the carrier. Do not order a duplicate jersey until we confirm the first parcel is lost; that is how double charges happen.

Kitdesk sells ready-made player jerseys (name and number already applied) in Player jerseys, and we can add lettering or a tournament patch on request when the blank shirt is in stock. Ready-made player shirts leave with regular fulfilment. Order-specific printing is a separate production step with extra time and stricter return rules.

Ready-made player jerseys

If the product page already shows a player name and number, that is the shirt you receive. Spelling, font, and number colour follow the listing. Those shirts are not “custom to you” in our system: they are stocked player versions. Returns follow the unused-goods rule unless the print on arrival does not match the page.

Made-to-order name, number, and patches

For a name, number, or FIFA World Cup 26™-style patch that is not on the product page, email tuki@nordpulse.fi with the jersey, size, exact lettering (including accents), number, and patch choice. We confirm spelling, font, placement, price, and lead time in writing before you pay. Typical extra production time is 5–10 business days on top of picking, longer around major tournament drops.

Check every character. We print what you confirmed. A nickname, a wrong number, or a missing accent that you approved is not a defect. Customisation cannot be cancelled once printing has started, and personalised shirts are not returnable for change of mind.

We do not print offensive text, political slogans, or third-party trademarks we are not licensed to use. Kitdesk is not an official club or federation licensee; we state that on product pages. We will refuse a job that would present the shirt as official licensed merchandise if it is not.

If the print is wrong when it arrives

If a letter is misaligned, the wrong number is applied, a patch is missing, or the font does not match what we confirmed, photograph the shirt flat in daylight and write within 14 days of delivery. We reprint or refund according to the fault. Do not wash the jersey before we have seen the photos — a wash can make a reprint assessment harder.

  • Official customization guide

Clubs, academies, companies, and supporter groups can order matching jerseys in one shipment. A team order is typically 10 or more identical or coordinated pieces — home shirts, a mix of sizes in the same colourway, or a staff set. We quote in euros, hold sizes where stock allows, and prefer one dispatch so the whole squad arrives together.

Non-customized bulk (plain jerseys)

If you are ordering authentic shirts without extra names, send the roster of sizes, the product name or URL, the delivery deadline, and a billing contact to tuki@nordpulse.fi with the subject Team order. We reply with availability, a size hold window, and a single quote. Payment is due before we reserve production or pick capacity, unless we have agreed invoicing for an organisation with a Finnish business ID.

Team orders may use a later dispatch date so every size ships in one carton. If a size is unavailable, we offer the nearest alternative, a wait for restock, or a partial shipment. You confirm that choice in writing before we pick.

Customized squad kits (names and numbers)

Send a spreadsheet or a clear list: size, surname (or chosen lettering), number, and any patch. We send a proof summary back. Printing starts only after you confirm. Lead time stacks on top of the bulk pick — plan well ahead of the first friendly. Numbered match shirts that have been issued to players cannot be returned as unused goods.

Returns and privacy

Unused, unprinted surplus shirts follow the same 30-day rule as consumer orders if we agreed that in the quote. We will not publish player or club names from your roster. For seasonal contracts (full kit for a youth team, hospitality staff), ask for a volume quote rather than stacking consumer coupons.

The price on the product page is the standard retail price in euros, including Finnish VAT. Sale prices are marked in red and apply only while that stock lasts. Checkout shows shipping, discounts, and the card charge before you pay. We do not add hidden handling fees after you confirm.

Standard retail, sales, and codes

A sale price replaces the standard price on that SKU; it is not an extra percentage on top unless the campaign page says so. Newsletter or welcome codes (for example WELCOME10) apply at checkout when the basket meets the stated rules. Codes cannot always be combined with sale items, team quotes, or customized lines — the checkout message is the authority.

Members and newsletter subscribers may see early access to a drop, not a standing extra discount on every jersey. Velocity Club, if you have an account benefit, does not change VAT or shipping rules.

Volume pricing

Volume pricing is for team and wholesale enquiries, not for stacking extra codes on a single consumer cart. As a guide, 10–24 units of the same style may qualify for a modest kit discount; 25+ units are quoted individually. Coupons such as WELCOME10 cannot always be combined with a volume quote — we state that in the offer email.

Price errors and currency

Obvious price errors happen rarely (a digit dropped, a wholesale figure on a retail page). If a jersey is listed at a mistake price, we will cancel and refund before dispatch and offer the item at the correct price. We do not honour a clear error as a binding consumer bargain when the listed figure is implausible next to the rest of the range.

Currency is EUR. International cards are charged in euros; your bank’s conversion rate applies. We do not re-price after capture because a foreign-currency statement looks different.

For wholesale, retail partnerships, content collaborations, and media, write to tuki@nordpulse.fi with the subject Business development. Include your organisation, country, product interest (which jersey families), and expected volumes. We review brand and licensing fit before we share lookbooks or price lists.

What we can and cannot grant

Kitdesk is an independent retailer of soccer jerseys. We cannot grant club trademarks, player image rights, or FIFA marks to third parties. If you represent a rights holder, attach proof of authority. If you want to resell our catalogue, we will talk wholesale terms — not a licence to print crests.

Influencer and affiliate proposals should include audience size, channel, geography, and a previous sports-retail case. We do not pay for posts that call Kitdesk an official club or FIFA store. Unsolicited product samples sent without an agreement are not returned.

Timing

We aim to respond to qualified partnership mail within five business days. A delayed reply is not an approval to use Kitdesk branding, product photography, or our domain in ads.

  • Affiliate program

Purchases on Kitdesk are governed by Finnish law and our Terms of Use. Consumers in the EU/EEA have statutory rights that these terms do not reduce, including the right to cancel distance contracts where the law provides it, and the right to a remedy for defective goods. Accounts, privacy, and payments

By creating an account or placing an order you agree to the Terms of Use, Privacy Policy, and Cookie notice. We process name, email, phone, address, and order history to fulfil the contract, keep accounts, and prevent abuse. Payments are handled by Stripe. We do not sell personal data.

You may access, correct, or request deletion of your data via tuki@nordpulse.fi, subject to bookkeeping and legal holds. You may lodge a complaint with the Finnish Data Protection Ombudsman (tietosuojavaltuutettu).
